DIGITAL IMAGING SERVICES – SMITH COMMUNITY CURATION EVENT 10/2023
INTRODUCTION
The Smithsonian’s National Museum of African American History and Culture (NMAAHC) needs professional, non-personal, work-for-hire digital imaging services to image flat materials.
SCOPE OF WORK
The Smithsonian’s National Museum of African American History and Culture (NMAAHC) needs professional, non-personal, work-for-hire digital imaging services at the Robert F. Smith Fund Community/Professional Curation Program to image flat materials in Nasvhille, TN tentatively scheduled for October 2nd through October 28th 2023 at (TBD - exact location will be revealed upon award of contract). These digital imaging services shall include working with a team of contractors and NMAAHC staff to set up and operate digital imaging equipment, related equipment, software, handle materials to be imaged, interact with the visitors at the event, collect and enter metadata, process and deliver digital images on a USB flash drive.
The NMAAHC will provide all equipment, supplies, and software needed for this project.
QUALIFICATIONS AND SPECIFIC TASKS
The contractor must have the following qualifications:

Several years of experience as a professional photographer

Experience working with a museum or cultural heritage institution

Experience with careful and safe handling of fragile objects
-
Experience with photography of flat and non-flat objects
-
Experience processing photographs using digital imaging software
-
Experience working with a team
-
Experience working with professional photography equipment and software
-
Experience collecting metadata and adding metadata to images and/or entering metadata on
spreadsheets or other documents
The contractor will perform the following tasks:

Assist with load and/or set up of digital imaging photography equipment

Handle documents, photographs, negatives, slides and other collectibles owned by the public
carefully and safely

Photograph documents, photographs, negatives, slides and other collectibles owned by the public
according to guidelines provided by NMAAHC

Name image files according to guidelines provided by NMAAHC
-
Process digital images according to guidelines provided by NMAAHC
-
Collect metadata from the public
-
Add metadata to digital images and/or enter metadata into spreadsheets or other documents
according to guidelines provided by NMAAHC

Transfer images to USB drives, hard drive, or other location according to guidelines provided by
NMAAHC

Assist with break down and/or load out of equipment

DELIVERABLES
The contractor will photograph community-curated objects belonging to four to eight participants in the New Orleans Community Curation Program per day and deliver images of these objects to the program participants. To create and deliver these images, the contractor will perform the following tasks: handle objects to be photographed, photograph objects, name image files, process digital images, collect metadata from participants, add metadata to digital images or spreadsheets or other documents, and transfer images to USB drives, hard drive or other location.
The contractor will provide a summary of tasks performed and participants served each day to submit with his/her invoice.
PERFORMANCE STANDARDS
The standards for performance are:

Professional interaction with the public and the team

Careful and safe handling of documents, photographs, negatives, slides and other collectibles

Successful production of high-quality images according to guidelines provided by NMAAHC

Successful naming of image files according to guidelines provided by NMAAHC

Successful processing of image files according to guidelines provided by NMAAHC

Successful adding of metadata to digital images and/or enter metadata into spreadsheets or other
documents according to guidelines provided by NMAAHC

Successful transfer of images to USB drives, hard drive, or other location according to guidelines
provided by NMAAHC

Careful and safe handling of equipment during load in, set-up, take-down, and/or load out
PERIOD OF PERFORMANCE
All work shall begin on October 2, 2023 and be completed by October 28, 2023. Dates listed are tentative and subject to change:

PLACE OF PERFORMANCE AND WORK HOURS
The project shall take place in Nashville, TN at (exact location will be revealed upon award of contract). The contractor shall perform the services described above daily from 8:30am until 5:30pm with a half hour break for lunch.
INVOICES
The contractor will invoice the Smithsonian on a project basis derived from the firm-fixed price award. With the invoice, the contractor will submit a timesheet of the hours worked with a summary of services performed each day. The contractor shall submit the invoice and timesheet to the Contracting Officer’s Technical Representative (COTR). The COTR will provide templates for invoices and timesheets.
COSTS INCURRED
Any costs incurred to perform the services under this Statement of Work, including transportation to, from, and around Nashville, TN, parking, meals, tips, lodging and other incidentals are the responsibility of the contractor and will not be reimbursed.
